EASA PART-147 Planning & Administration Manager, MINT Administrator and Invigilator

- Plan internal and external training resources in line with customer demand and regulatory requirements
- Maintain accurate and up-to-date planning data in MINT
- Communicate planning updates to all stakeholders in a timely and transparent manner
- Coordinate instructors, SMEs, training resources (aircraft access, flight simulators, e.g.) and all logistics related abroad for optimal operational delivery
- Prepare and close course documentation packages for internal and external training
- Act as MINT system administrator, maintaining system configuration and workflows
- Manage interfaces with corporate systems such as SAP, AMC, GEMS, RogerHR, IW LMS and the WebShop
- Ensure MINT remains the single source of truth for planning information
- Compile operational and financial KPIs and provide regular reporting
- Maintain complete and compliant training records in accordance with Part-147 requirements
- Administer course documentation for audits and regulatory oversight
- Issue training certificates once all administrative and financial steps are completed
- Coordinates customer screening based on export control procedures & blacklists by the authority
- Invigilate examinations as an approved Part-147 Invigilator
- Manage WBT registrations and assignments for external customers
- Administer open-seat training offers and B2C bookings
- Track training invoices and monitor billing status
- Support reporting on operational performance and sales forecasts
- Arrange travel requirements for the employees using Online Travel Booking tool (flight, hotel, local transport) according to company travel policy
- Issue of individual company credit cards for the staff during business travel and monitor the travel expenses.
- Contribute to continuous improvement and automation of administrative processes
- Minimum 10 years of experience in MINT planning within the aerospace or aviation training industry
- Bachelor’s degree in engineering, Business Administration or a related field
- Highly proficient user of MINT Software Systems
- Strong organizational and analytical skills with the ability to coordinate complex operations
- Excellent interpersonal and communication skills across cultures and organizational levels
- Experienced working in international aviation environments
- Proactive, structured and solution-oriented mindset with a strong sense of ownership
- Advanced proficiency in English (minimum C1); German (minimum B2) is an advantage
- Experience with SAP, AMC, GEMS, RogerHR, IW LMS, WebShop and MS Office
