  • Manage complex and ever-changing calendars, scheduling meetings, appointments, and conference calls while efficiently resolving scheduling conflicts.
  • Act as a gatekeeper, screening and prioritizing incoming emails, calls, and correspondence on behalf of senior leadership.
  • Prepare and edit various documents, reports, presentations, and financial data to support decision-making processes.
  • Prepare, assist, attend meetings, take accurate meeting minutes, and follow up on action items with stakeholders to ensure timely completion.
  • Coordinate domestic and international travel arrangements, including flights, accommodation, and itineraries, optimizing travel efficiency.
  • Handle confidential and sensitive information with utmost discretion and always maintain strict confidentiality.
  • Assist in administrative and financial-related tasks such as expense reporting, budget tracking, and financial record keeping.
  • Conduct research and gather data to support strategic business decisions.
  • Collaborate with other members of the executive team and cross-functional departments to ensure smooth communication and coordination.
QualificationsPROFESSIONAL PROFILE
  • Proven experience as an Executive Assistant or similar role supporting C-level executives.
  • Exceptional organizational skills with the ability to multitask and prioritize competing demands effectively.
  • Strong attention to detail and a track record of producing accurate work under tight deadlines.
  • Excellent communication skills, both written and verbal, with the ability to interact confidently with internal and external stakeholders.
  • High level of integrity and professionalism, handling confidential information with discretion.
  • Strong problem-solving abilities and resourcefulness in handling challenges.
  • A proactive and self-motivated individual who can work independently as well as part of a team.
REQUIRED SKILLS
  • Commercial school, bachelor's degree in business administration, finance, or a related field is preferred.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook, and SharePoint); experience with financial software is a plus.
  • Excellent writing skills in English.
  • Fluent English and German; French is an asset.
