This is where you can do your best work.Join us at the intersection of saving and sustaining lives—where your purpose accelerates our mission.OverviewThe Executive Legal Assistant (f/m/d) – International Developed Markets, has primary responsibility for preparing, organizing, summarizing, and submitting the key legal documents related to the operations of the Baxter operating companies across the globe, as well as other administrative duties related to the operation of the Legal Department for International Developed Markets. The role reports to the Deputy General Counsel, Labor & Employment Law, Integrated Supply Chain, and International Developed Markets. The role will require a high degree of professionalism and involve interactions with high level business and functional leaders throughout the world.Critical Responsibilities
  • Prepares summaries and associated documents/agreements related to key legal filings, financial transactions, and tax related documents for the corporate operations of the global business.
  • Supporting the Legal Department in their day-to-day business activities.
  • Preparing, filling, formatting, and sending legal documents, letters, emails, presentations.
  • Arranging & collecting signatures for the Swiss Baxter entities.
  • Arranging notarizations, embassy legalizations, and obtaining apostilles in collaboration with relevant Swiss and international authorities (visiting the Notary a minimum of 1-2 times a week).
  • Addressing invoicing and expense reports, diaries, and organization of travel, and other diverse administrative activities.
  • Responsible for PWC/Finance audit requests of Swiss legal entities (SOX control Matrix, legal documentation for PWC audit purposes, Execution of documentation for financial annual report, lawyer’s letters).
  • Creating matters in Legal Tracker and Managing the Legal database (diverse SharePoint, cHue etc.).
  • Managing Board changes of the Swiss entities (Corporate housekeeping).
  • Point of contact for Baxter Confidential Disclosure Agreement (CDA).
  • Calendar management for Legal Executives.
  • Provides occasional legal support on other subject matters outside the above as well as other support as directed by the Deputy General Counsel.
  • Always meets the Law Department’s professional standards and exemplifies Baxter’s expectation of Ethics and Compliance in Everything We Do.
Education and Experience
  • Paralegal education preferred, with either 2 years of college and a paralegal certification or an experienced Legal Assistant with a minimum of five years of demonstrated professional experience in a corporate environment with a high level of complexity.
Key Qualifications
  • Fluent in English & German; fluency in any other EMEA languages preferred.
  • Proven experience with complex legal transactions related to corporate structure, finance and tax matters.
  • Experience in addressing multinational legal issues.
  • Experience with EMEA regulatory schemes.
  • Residency in Switzerland and ability to work in the Zurich office of Baxter a minimum of three days per week.
  • Comfortable communicating and submitting filings with governmental bodies.
  • Critical thinking, sound judgment, the ability to view issues holistically, and being a genuine team player that willingly collaborates, takes on additional and varied responsibilities as business needs dictate.
  • Strong organizational skills.
