Please only apply for an internship if you fulfil the following two criteria:(1) You have no close relative serving in the ILO.(2) This is your first internship with the ILO (only one internship is permitted).DepartmentThis position is located in the Internal Services and Administration Department (INTSERV). The Department comprises four units: Security management (SECURITY), Facilities Management (FACILITIES), Publications Production Management (PRODOC), Support and Mail Services (SUPPORT/MAIL), and the Departmental Support Team (DST). INTSERV is responsible for a wide range of services regarding facilities and property management, environmental sustainability, occupational safety and health, security and safety, logistics and mail services, publishing and publication production management, diplomatic privileges, travel and transport and provision of other central services. In addition to the service delivery at ILO headquarters, each unit provides, expertise advice and guidance in their respective domain to ILO headquarters and the field.Learning areaAs an intern in the INTSERV department, you will be exposed to a whole range of activities such as:
- Support the change management communication work related to the implementation of key projects such as: the roll-out of a new workplace management system (IWMS), the implementation of a security perimeter project and related changes to the access procedures, modification to the service delivery models and processes for publishing and publication production.
- Plan, draft and post relevant and engaging internal communication information and content related to key INTSERV projects. Collaborate with the internal communication unit of the department of Communications (DCOMM) on best practices and general guidance.
- Contribute to the editorial and content coordination of the intranet platform, including regular updates on the respective INTSERV units' pages, coordinating updates in the three official languages (English, French and Spanish) of the Organization.
- Liaise with and support other stakeholders, including ILO departments and offices, to conceive and create engaging and relevant written and visual content for the ILO intranet that informs and connects colleagues. One of objectives is promoting the implementation and use of the Integrated Workplace Management System (IWMS). Monitor the mailbox and provide first line response to queries and escalate to technical INTSERV experts for follow-up when required.
- Organize the translation and proof-reading of Unit outputs in English, French and Spanish, using appropriate tools and quality controls in line with the DCOMM policies.
- Monitor and collate monthly analytics for the intranet with a view to improving user experience and engagement.
- Perform other relevant duties as assigned.
- You would be gaining experience in working with specialists who are involved in the Communications and Publishing field and other relevant technical internal services and gaining experience in change management communications.
