- Liaison with Internal Stakeholders: Collaborate with internal teams such as compliance, legal, and finance to facilitate seamless operations.
- Calendar Management: Efficiently manage the calendars, scheduling meetings, appointments, and events to optimize their time.
- Administrative Tasks: Provide general administrative support, including email correspondence, phone calls, and document preparation.
- Budget Monitoring: Assist in tracking and monitoring the marketing department's budget, helping to ensure expenditures align with financial targets.
- Travel Planning: Organize complex travel itineraries for both MDs, both domestically and internationally.
- Expense Reports: Process and manage expense reports, ensuring accuracy and adherence to company policies.
- Branded Merchandise and Event Materials: Keep track of branded merchandise inventory and coordinate the production and distribution of event materials.
- Creation of PowerPoint presentations, Excel spreadsheets and management of SharePoint sites (uploading and filing documentation)
- Minimum of 5 years of proven experience as an executive support or administrative assistant; Of which 2+ years in the financial industry or marketing.
- Detail-oriented, with a commitment to high-quality work.
- Passion for working in a fast-paced environment.
- Experience in working with international teams and across various time zones.
- Exceptional organizational and time management skills.
- Energetic and engaged professional who is passionate about working with people and exceeding expectations.
- Strong communication skills, both written and verbal.
- Fluent in English and German, additional languages are a plus.
- Ability to handle sensitive and confidential information with discretion.
- Adaptability and a proactive approach to problem-solving.
- Proficiency in office software tools, including Microsoft Office suite (PowerPoint, Excel etc) and Monday.com
