- Owns end-to-end client account administration, ensuring accurate and compliant documentation (KYC/CDB, account openings, legal forms) is completed and maintained to the highest standard
- Manages day-to-day operational tasks, resolves system alerts, and handles client requests independently or coordinates with RMs for investment-related matters
- Maintains and validates client key data and CRM records in close partnership with RMs to ensure relationship integrity
- Engages directly with clients professionally handling inquiries, facilitating transactions, and leading non-advisory agenda items in meetings when appropriate
- Prepares client meetings, manages calendars, organises business trips, and conducts thorough follow-ups independently
- Creates tailored reports, presentations, and investment proposals; supports marketing and client event initiatives
- Drives operational efficiency by managing internal projects affecting client accounts, resolving administrative issues, and ensuring all systems and documentation are up to date
- Proactively identifies opportunities for process improvements and shares best practices to enhance team performance
- Takes ownership of expense claims and administrative support for RMs/Team Heads
- Supports risk and compliance by actively identifying, addressing, and escalating potential issues; ensures adherence to internal policies and local regulations
- Guarantees timely resolution of pending items, audits, and control deficiencies
- Documents all client interactions and instructions clearly and completely in CLM, CRM, DiAS, Wealth Navigator or other designated systems
- Upholds ethical standards and promotes a culture of compliance, precision, and service excellence
- Client-focused with strong integrity, discretion, and excellent interpersonal skills; builds trust easily
- Adaptable and culturally aware—works effectively with diverse clients and teams
- Proactive, independent, and solution-driven; takes initiative and embraces change
- Communicates clearly and professionally in English and French, additional languages beneficial
- Minimum 5 years as ARM, or 3 years with relevant degree (e.g. Bachelor’s, CFA, CAIA, AZEK, CWMA)
- Proven experience handling complex client mandates
- In-depth knowledge of private banking products, services, systems, and market developments
- Team player who supports colleagues, shares knowledge, and contributes to service excellence
