Follow us on X (formerly Twitter) @BNYMellon or visit our newsroom at for the latest company news.We’re seeking a future team member for the role of Office Manager to join our Swiss Branch of BNY Mellon Investment Management This role is located in Zurich and is Hybrid.Job PurposeWe are looking to hire an Office Manager to run general office management of the Swiss Branch of BNY Mellon Investment Management and support the local Sales team based in Zurich.The purpose of the role is to provide assistance to the Distribution effort in all aspects related to the development of sales activities in Switzerland, Liechtenstein and Austria whilst also working with BNY Mellon IM EMEA departments in London.Key roles and responsibilities:
  • General Administrative Support of the Swiss BNY Mellon Investment Management office of 8 distribution people in Zurich
  • Diary Management for the Sales Team
  • Completion of expense diaries for the Sales Team
  • Arrange travel itineraries, including booking all travel and hotels for all team members.
  • Organize internal and external meetings, including where necessary, coordination of meeting materials and related correspondence.
  • Answer calls, take messages, filter/prioritize and assist the caller where possible.
  • Interact with clients and business partners, handling highly confidential relationships and associated materials.
  • Maintenance of the client relationship database Salesforce, including updating of client data/preferences, adding meeting notes for the Sales Team, campaign management and pro-active data cleansing.
  • Provide support to the Client Service and Client Relationship Team
  • Provide support to the Marketing Team, co-ordination and support of road shows, client events and conferences.
  • Where appropriate, support of other personnel when required (such as holidays or sickness)
  • Support and coordination of the quarterly Swiss Board Meetings and the filing of tax declarations.
  • Maintenance of the office premises including supervise/managed the office cleaning, access-system and security etc
  • General Office Management, purchase of stationery and other supplies, new vendor setup and payment of invoices.
  • Co-ordination and support with IT issues, HR matters and the onboarding of new joiners.
  • Take responsibility for all postal matters.
  • Responsible for Business Continuity Crisis Management
  • Responsible for Records Management
  • Provide general assistance with ad-hoc duties/projects as required.
To be successful in this role, we’re seeking the following:
  • Experience in a similar role within Investment Management
  • Excellent German and English language skills
  • Good business skills (Outlook, MS Office, Powerpoint)
